Pricing That Scales With Your Active Students

Your recommendation is based on active student count: Community for 1-50, Essentials for 51-250, Growth for 251-700, Professional for 701-2,500, and Enterprise above 2,500 or for complex requirements. Annual billing is monthly price x 11, which gives one month free. All public prices are in Australian dollars and exclude GST.

For pricing guidance, an active student is a person whose record is enrolled, commenced or current, or who has attendance, assessment or finance activity recorded during an active enrolment period. Applicants, archived records, completed students, withdrawn students, historical records, parents, guardians, student portal accounts and staff users on paid plans are not counted. One person with multiple enrolments in the same tenant counts once.

The calculator recommends Essentials for 51-250 active students, Growth for 251-700 active students, and Professional for 701-2,500 active students. For 1-50 active students it recommends Community and shows Essentials as the first paid upgrade. Above 2,500 active students, or where governance, procurement, campuses or integrations are complex, it routes to Enterprise.

Yes. Community has no monthly platform fee for eligible institutions up to 50 active students and does not require a credit card. Community includes starter limits and self-service support. Payroll is available as an optional add-on. Community does not include monthly SMS credits or prepaid SMS packs; SMS packs are available on paid plans. Add-ons are purchased from the Buying page inside Academyship after your institution signs up and logs in.

Staff accounts are Academyship platform login accounts and are not billed as students. Each plan includes an allowance: Community up to 3 staff accounts, Essentials up to 25, Growth up to 75, Professional up to 250, and the Institutional Annual Plan up to 120. Enterprise has a custom staff-account allowance. Student, parent and guardian portal users are included and are not separately counted, and the active-student count remains the pricing driver. Active Payroll staff are a separate usage measure for Payroll pricing.

A paid-plan trial lasts 30 days and no credit card is required. Trial allowances may be limited. Your institution must actively choose a paid subscription to continue on the paid plan after the trial. If you do not continue, the trial simply ends and Academyship does not begin charging without your confirmation.

Standard paid plans are available monthly or annually. Annual billing is monthly price x 11, so the institution receives one month free compared with paying monthly for 12 months. All public prices are in Australian dollars and exclude GST.

The Institutional Annual Plan is a fixed annual package at AUD $35,000/year, paid upfront, excluding GST, on a 12-month commitment. It covers up to 2,500 active students, one campus and up to 120 staff accounts with Professional architecture and fixed published allowances. White-Label Branding is available separately. The plan includes the Launch Package and Migration+ at 50% off. The combined published value is AUD $41,750, so the direct saving is AUD $6,750.

SMS is measured in SMS credits. One SMS credit represents one standard SMS segment; long messages, Unicode characters and some special characters may use multiple segments. Community does not include monthly SMS credits or access to prepaid SMS packs. Included monthly SMS credits are Essentials 200/month, Growth 750/month, Professional 2,000/month, Institutional Annual Plan 3,000/month, and Enterprise: Custom. Paid plans may purchase additional prepaid packs after login. Prepaid SMS packs are AUD $39 for 500 SMS credits, AUD $65 for 1,000 SMS credits, AUD $128 for 2,000 SMS credits, AUD $315 for 5,000 SMS credits, AUD $620 for 10,000 SMS credits, AUD $3,050 for 50,000 SMS credits and AUD $6,000 for 100,000 SMS credits, excluding GST; prepaid packs roll over and remain valid for 24 months from purchase, and the oldest credits are used first. Sending pauses when no usable credits remain, and no automatic recharge occurs unless you enable it with a spending cap you can set or disable. No silent automatic charges occur.

Each Academyship plan includes a monthly AI token allowance. Included amounts vary by plan. Additional AI is available as a prepaid pack of 1M AI Tokens for AUD $59, excluding GST. AI usage is metered and shown in your AI usage dashboard, and no automatic top-up occurs without your opt-in.

Each plan includes a monthly certificate allowance. Additional certificate documents are available as prepaid packs: 500 certificate documents for AUD $29, 2,500 certificate documents for AUD $99, 10,000 certificate documents for AUD $249, 50,000 certificate documents for AUD $749, excluding GST. Certificate packs remain valid for 12 months.

Each plan includes an included storage allowance. Additional storage is available as monthly packs: 100 GB for AUD $25/month, 500 GB for AUD $99/month, 1 TB for AUD $179/month, excluding GST. Storage use is subject to Academyship retention, backup and acceptable-use policies.

Academyship Payroll is available across Academyship plans. Community, Essentials and Growth receive the one-time Payroll Free Start offer: the first 25 active Payroll staff are free for 3 consecutive billing months. Professional and Institutional Annual Plan include up to 25 active Payroll staff; above 25, use the lower of AUD $4.50 per additional active Payroll staff member per month or the applicable published Payroll package. Enterprise Payroll is priced by agreement. The published Payroll packages are AUD $49/month for up to 10 active Payroll staff, AUD $99/month for up to 25 active Payroll staff, AUD $159/month for up to 50 active Payroll staff, AUD $269/month for up to 100 active Payroll staff, AUD $499/month for up to 250 active Payroll staff. Custom quote applies above 250 active Payroll staff. Best-price protection applies. An active Payroll staff member is a person included in at least one finalised pay run during the billing month. Staff records that are stored, archived or not processed in a finalised pay run during that month are not counted. The one-time Payroll Free Start offer is available to Community, Essentials and Growth institutions activating Academyship Payroll for the first time. The first 25 active Payroll staff are free for 3 consecutive billing months. Additional active Payroll staff are AUD $4.50 each per month, with best-price protection. The offer is available once per institution; an institution can disable Payroll before paid billing begins, normal pricing applies after month 3, and reactivation does not restart the offer. Yes. Community, Essentials and the Institutional Annual Plan include 1 campus; Growth includes 2 and Professional includes 5. The Institutional Annual Plan is limited to 1 campus. Additional campuses are AUD $95/month, excluding GST, where the selected plan permits it. More than 5 campuses, group governance or complex multi-entity operation should route to Enterprise.

Standard CSV imports are included. Self-Service Import is AUD $0, excluding GST. The Launch Package is AUD $1,490, excluding GST. Migration+ is AUD $4,900, excluding GST. Professional annual billing is the Professional monthly price multiplied by 11; the Launch Package and Migration+ are available separately. The Institutional Annual Plan includes the Launch Package and Migration+ at 50% off. Unusual source systems, poor data quality, document-heavy migration, custom integrations and complex reconciliation require a scoped quote.

Choose Enterprise if you need more than 2,500 active students, complex governance, more than 5 campuses, multi-entity operation, custom integrations, procurement support or contractual service levels. Enterprise pricing starts from AUD $45,000/year, excluding GST, and is scoped by agreement.

Each usage type is handled independently. Email-send units: emails without attachments may continue while email-send units remain, and the 10,000-email pack (AUD $12) adds send units only. Outgoing email attachment data: metered separately from email-send units; emails containing attachments pause when no usable attachment data remains, and prepaid packs are 25 GB for AUD $15, 100 GB for AUD $49 and 500 GB for AUD $199. SMS credits: sending pauses when no usable credits remain and prepaid SMS packs apply. Other usage packs (storage, AI tokens, certificates) apply to their own allowance. Student pricing uses the published additional-student rate for the selected paid tier. There is no silent automatic top-up; optional auto-recharge requires explicit opt-in and a customer-set cap. Enterprise usage follows the contract.

Standard monthly plans may be cancelled without a long-term lock-in, with cancellation taking effect at the end of the current paid billing period. Annual plans and Enterprise agreements follow the agreed term or Order Form. Institutions can export Tenant Data during the subscription and for at least 60 days after termination, subject to the Terms. Fees already paid are non-refundable except where required by law, the Terms or an Order Form.

Yes, on paid plans, through the optional White-Label Branding add-on. Community does not support White-Label Branding. On Essentials and Growth it is AUD $149/month plus a one-time AUD $490 setup, and on Professional it is AUD $100/month plus the AUD $490 setup; standard annual billing is the monthly price multiplied by 11 (Essentials and Growth AUD $1,639/year, Professional AUD $1,100/year). White-Label Branding is available separately on the Institutional Annual Plan and included on Enterprise. The standard scope covers supported tenant-facing areas — your logo, name, favicon and brand colours across the branded login, staff, student and parent portals plus supported emails, certificates, letters, invoices and generated PDFs, with one brand profile, one custom domain and one custom email-sending domain. Legal, technical, contractual and mandatory references — such as contracts, billing documents, privacy, security and legal notices, mandatory disclosures, system-administration and technical records, support communications and technical email headers — may remain. Multiple brands, reseller arrangements, multiple domains and separately branded mobile apps require Enterprise scoping. White-Label Branding is optional and is never added to a plan total automatically.

Email-send units and Outgoing Email Attachment Data are metered separately, and both are separate from general tenant storage. Every plan has a free but limited monthly attachment-data allowance: Community 1 GB, Essentials 5 GB, Growth 20 GB, Professional 50 GB, the Institutional Annual Plan 100 GB, and Enterprise a custom included quota by agreement. Included quotas reset each billing month and do not roll over. When you need more, prepaid attachment-data packs are 25 GB for AUD $15, 100 GB for AUD $49 and 500 GB for AUD $199, excluding GST; purchased packs remain valid for 12 months and are used oldest first. Sending one attachment to multiple recipients uses attachment data for every delivery. No silent automatic purchase occurs. Emails without attachments may continue while email-send units remain, while emails containing attachments pause when no usable attachment data remains.

Yes, on paid plans. Custom SMS Sender ID is available only to paid plans using Academyship SMS services (Essentials, Growth, Professional, Institutional Annual and Enterprise); Community does not include it. Registration and setup is AUD $99 one-time per Sender ID, with no recurring Academyship Sender ID fee. One setup is included with the Institutional Annual Plan and with Enterprise; additional Sender IDs are AUD $99 each (or scoped by agreement on Enterprise). SMS credits are purchased separately — the fee does not include SMS credits. Approval is subject to carrier, provider and regulatory verification, and the institution must demonstrate its right to use the requested name; Academyship cannot guarantee approval, and availability and display may vary by destination country, carrier and message type. Future external registration fees may be passed through with prior notice. A custom alphanumeric Sender ID may not support inbound replies, so institutions needing two-way SMS may require a supported phone-number-based option with separate pricing.
